What is an experience letter?
This is the standard Indian experience certificate: company name and address at the top, reference number and date, "To Whomsoever It May Concern", the employee’s dates of service and tenure, the last designation and department, an optional list of responsibilities, a line on conduct, and the authorised signatory. Pronouns follow the title you choose.
When do you need an experience letter?
- An employee has left and asks for a certificate of service.
- A former employee needs proof of experience for a new job, a visa or higher studies.
- A small business or shop owner wants to give a proper letter to a staff member.
Documents needed for an experience letter
- Joining date and last working day from HR records.
- Last designation and department.
- The company letterhead and seal, and the name of the authorised signatory.
How to make an experience letter: stamp paper, signing, submitting
- Fill in the company name, address and the signatory.
- Fill in the employee’s name, designation, department and dates. The tenure is worked out for you.
- Add a few main responsibilities if you want them in the letter, and choose the conduct line.
- Download the Word file and print it on the company letterhead.
- Sign it, add the company seal, and give the original to the employee.
Common mistakes
- Dates that do not match the relieving letter or HR records. New employers check them.
- Missing designation or department, which makes the letter weak as proof.
- Not printing on letterhead or not signing. An unsigned plain-paper letter is often not accepted.
- Overstating the role or responsibilities. Keep the letter factual.
Questions people ask
Is an experience letter the same as a relieving letter?
No. A relieving letter confirms that the employee resigned and was relieved on a date. An experience letter describes the period of service and the role. Many companies issue both; use the relieving letter draft for the other one.
Does the letter work out the tenure?
Yes. It counts full years and months from the joining date to the last working day, and shows days if the service was less than a month.
Can I add responsibilities?
Yes. Add one per line in the responsibilities box; they appear as a short list. Leave it empty for a plain letter.
Can I make it in Hindi?
Yes. Switch the document language to Hindi and the whole certificate is written in Hindi.
Is my data safe?
Yes. Everything is made on your device, in your browser. Nothing you type is uploaded, and the draft stays only on this device until you clear it.
