What is a leave application?
This is the standard Indian leave letter format: "To," with the principal or manager, a subject line, "Respected Sir/Madam," two short paragraphs with the dates, number of days and reason, and a sign-off. For school it can be written by the student or a parent; for office it includes your employee ID, department, type of leave and an optional handover note.
When do you need a leave application?
- A child is ill with fever and will miss school for a few days.
- You need casual, sick, earned or emergency leave from office and your company asks for a written application.
- A family function or wedding means missing school or work.
- A planned medical procedure needs a few days of rest.
Documents needed for a leave application
- Leave dates (from and to).
- Class, section and roll number for school, or employee ID and department for office.
- A medical certificate, if the school or employer asks for one for sick leave.
How to make a leave application: stamp paper, signing, submitting
- Choose school or office, and for school say whether the student or a parent is writing.
- Fill in the school or company details and the student or employee details.
- Pick the leave dates and the reason. The preview shows the number of days, both dates included.
- Download the Word file to edit, or the PDF to print. Switch to Hindi if your school prefers Hindi letters.
- Sign it and hand it to the class teacher or manager, or attach it to an email, before the leave starts where you can.
Common mistakes
- Writing the wrong number of days. Count both the first and last day; the form does this for you.
- Leaving out class and roll number, so the school cannot match the letter to the student.
- Asking for sick leave without keeping a medical certificate ready when your employer needs one.
- Applying after the leave without a reason for the delay. Apply in advance whenever you can.
Questions people ask
How do I write a leave application for fever?
Choose "fever" as the reason, fill in the dates and the letter says that you (or your child) cannot attend because of fever, asks for leave and offers a medical certificate if required.
Can a parent write the school leave application?
Yes. Choose "A parent" under who is writing. The letter then speaks about your son or daughter and you sign as the parent.
Can I write the leave application in Hindi?
Yes. Switch the document language to Hindi. The letter uses "सेवा में", "विषय" and "आदरणीय महोदय/महोदया", and the correct form for a boy or girl.
Does the letter count weekends and holidays?
It counts calendar days from the first date to the last, both included. If your school or company counts only working days, edit the number in the Word file.
Is my data safe?
Yes. Everything is made on your device, in your browser. Nothing you type is uploaded, and the draft stays only on this device until you clear it.
