How to Convert Word to PDF Without Losing Formatting
Convert a Word document to PDF while keeping its formatting
- Open the document in Word and save it as .docx (File, Save As, Word Document) if it is still an old .doc file.
- Check the page size and margins under Layout, and pick A4 unless the recipient has asked for Letter.
- Swap any unusual fonts for widely available ones such as Calibri, Arial, Cambria or Times New Roman, or note which fonts may be approximated.
- Open the Word to PDF tool on IndiaDigital and drop in your .docx file. It is processed in your browser and never uploaded.
- Download the PDF and scroll through every page, comparing line breaks, tables and pictures with the original.
- If the file is too large for a job portal or email, run it through Compress PDF and check it again.
Why formatting changes when Word becomes PDF
A Word document is not a fixed picture of a page. It is a set of instructions: this paragraph uses this font at this size, this table has these column widths, this picture sits to the right of that text. Every time the file is opened, the program reads those instructions and lays out the page again. A PDF, by contrast, records where every character and line sits on a fixed page. Converting from one to the other means doing the layout once, on one particular device, and freezing the result.
That is why the same .docx can look slightly different on your laptop, your friend's phone and the HR team's computer. If the layout step happens with a different font, a different page size or a different version of the rules, lines can wrap at different points, a table can push onto the next page, or a one-page CV can quietly become two pages. Most formatting problems are not the converter being careless; they come from the document depending on something the converting device does not have.
The good news is that a handful of checks fixes nearly all of these problems. Once you know what to look for, you can produce a PDF that looks the same everywhere, which is the whole point of sending a PDF in the first place.
Fonts: the most common culprit
When a document asks for a font that the converting device does not have, the converter has to substitute something similar. Our Word to PDF tool approximates missing fonts with the closest available match, which keeps the text readable, but a substitute font may be slightly wider or narrower than the original. Across a full page, that small difference adds up and changes where lines break.
Fancy fonts downloaded from the internet, regional script fonts that only exist on your machine, and fonts bundled with a particular design app are the usual offenders. Safe choices that exist on most computers and phones include Calibri, Arial, Cambria, Georgia, Verdana and Times New Roman.
- Stick to one or two fonts. A CV or report rarely needs more than one font for headings and one for body text.
- Avoid tight fits. If a line only just fits on one row, any font substitution will push the last word down. Leave a little breathing room.
- Check Indian-language text carefully. Hindi, Marathi, Tamil and other scripts depend on fonts that support them. Read through those paragraphs in the PDF, not just the English ones.
- Embedded fonts help, but not everywhere. Word can embed fonts in a .docx (File, Options, Save, Embed fonts in the file). This helps when the file is opened in Word on another computer, but browser-based converters may still approximate them, so a common font remains the safest choice.
TipIf your design depends on a special font, convert the document using Word's own Save as PDF on the computer where that font is installed, then use IndiaDigital to compress or merge the result. Use the browser converter when you are on a phone, a shared computer or a machine without Office.
Page size, margins and the A4 versus Letter trap
India, the UK, Europe and most of the world use A4 paper. The United States and Canada mostly use Letter, which is a little wider and shorter. Templates downloaded from the internet are often set to Letter by default. When you convert, the PDF keeps the page size of the document, so a Letter CV printed on A4 in an Indian office may get scaled down or have its bottom lines clipped.
| Setting | What to check | Why it matters |
|---|---|---|
| Page size | Layout, Size: A4 for most uses | Prevents scaling and clipping when printed |
| Margins | Normal or at least moderate margins | Very narrow margins can be cut off by printers |
| Orientation | Portrait for text, landscape only for wide tables | Mixed orientation can confuse some viewers |
| Section breaks | Layout, Breaks, and the show formatting marks button | Hidden breaks can create blank pages in the PDF |
Blank pages at the end of a PDF are almost always caused by an empty paragraph or a page break after the last line of text. Turn on the formatting marks (the pilcrow button on the Home tab), delete the stray marks at the very end of the document, and convert again.
A checklist before you send a CV, cover letter or report
Whether you are applying for a job, submitting a college assignment or sending a proposal to a client, run through this list once. It takes a few minutes and saves you from the quiet embarrassment of a broken layout landing in someone's inbox.
- Open the PDF, not the Word file. Check what the recipient will actually see, on a phone as well as a computer if you can.
- Count the pages. A one-page CV should still be one page. If it spilled over, reduce spacing or trim text rather than shrinking the font below a comfortable size.
- Read the first and last line of every page. Odd breaks show up here first.
- Check names, numbers and dates. Your phone number, email address, roll number or GST number must be exactly right.
- Try selecting some text. If you can highlight words, recruiters' software can read them too.
- Check the file name. Use something clear like FirstName-LastName-CV.pdf instead of Document1.pdf.
- Check the file size. Many portals cap uploads at a few hundred kilobytes or a couple of megabytes. Our guide on how to compress a PDF to 100KB walks through shrinking it without making it blurry.
Watch outDo not assume the PDF is fine because the Word file looked fine. Fonts, page size and stray page breaks only reveal themselves after conversion, so always open and read the final PDF before you attach it.
After converting: size, merging and edits
Once you have a clean PDF, you may need to do one or two more things with it. If an application asks for a single file containing your CV, certificates and ID, use Merge PDF to combine them in the right order; our guide to merging PDF files for free covers the details. If the file is heavy because of photos or logos, Compress PDF reduces it. And if your Word file itself is bloated with large images, see how to reduce Word file size before you convert.
If you spot a typo after converting and no longer have the original .docx, you can turn the PDF back into an editable document with PDF to Word, fix it, and convert again. Our guide to converting PDF to editable Word explains what to expect from that round trip.
TipEverything on IndiaDigital runs inside your browser. Your CV, salary slip or business plan is never uploaded to a server, which is worth knowing when you are working on a shared or office computer.
Frequently asked questions
Why did my fonts change when I converted Word to PDF?
The converting device did not have the font your document asked for, so it used the closest available match. Switching to a widely installed font such as Calibri, Arial or Times New Roman usually solves it. If you must keep a special font, convert on a computer where that font is installed.
Can I convert an old .doc file to PDF?
Not directly with the browser tool. Open the .doc file in Word, LibreOffice or Google Docs, save it as .docx, and then convert. Re-saving is quick and also makes the file easier to work with in the future.
Will my CV still be readable by applicant tracking systems?
Yes, the text in the PDF stays selectable, so software that reads the text layer can pick it up. Keep the layout simple, avoid putting important details only inside pictures, and test by selecting and copying some text from the PDF.
Why is there a blank page at the end of my PDF?
Usually an empty paragraph or a page break sits after your last line of text. Turn on formatting marks in Word, delete anything after the final line, save and convert again.
Is it safe to convert confidential documents?
On IndiaDigital the conversion happens in your browser, so the file is not uploaded to a server. As with any device, close the tab and delete downloaded copies if you are using a shared or public computer.
IndiaDigital tools run in your browser: files are processed on your device and never uploaded. Requirements set by portals, exams and government services change — always follow the official instructions you have been given.
