How to Convert PDF to Editable Word (Text and Scanned PDFs)

By IndiaDigital6 min read

Convert a PDF into an editable Word document

  1. Open the PDF and try to select a line of text to find out whether it is a text PDF or a scanned one.
  2. If the text cannot be selected, run the file through Searchable OCR first to add a text layer.
  3. Open the PDF to Word tool on IndiaDigital and drop in the PDF. It is processed in your browser, not uploaded.
  4. Download the .docx and open it in Word, Google Docs or LibreOffice.
  5. Tidy up: fix any merged columns, check tables and replace fonts if needed.
  6. Save your edited document, and convert it back with Word to PDF if you need to send a PDF.

First, find out what kind of PDF you have

Every PDF falls into one of two broad groups, and knowing which one you have explains almost everything about how well it will convert.

TypeHow it was madeHow to tellWhat conversion gives you
Text PDFExported from Word, Excel, a website or billing softwareYou can select and copy wordsReal, editable text with structure
Scanned PDFMade by a scanner or a phone scanning appClicking selects the whole page as a picturePictures of pages, no editable text
Mixed PDFSome typed pages, some scanned pagesSelection works on some pages onlyEditable text on some pages, pictures on others

The quickest test is to open the PDF in any viewer and drag across a sentence. If the words highlight one by one, you have a text PDF. If a box appears around the whole page, or nothing highlights at all, it is a scan. Bank statements and invoices exported from software are usually text PDFs; signed agreements, old certificates and photos of documents are usually scans.

What converts well, and what does not

A PDF does not store paragraphs the way Word does. It stores individual pieces of text placed at exact positions on the page. A converter has to look at those pieces and work out which ones belong to the same line, which lines form a paragraph, which large bold lines are headings and which neatly aligned columns form a table. Our PDF to Word tool does exactly this and rebuilds paragraphs, headings, tables from aligned columns, pictures and text colours into a .docx you can edit.

  • Converts well: letters, reports, essays, resumes, simple contracts and notices with a single column of text and ordinary tables.
  • Converts reasonably: documents with a mix of text and pictures, coloured headings and simple tables with clear columns.
  • Needs tidying: newsletters, magazines and brochures with two or three columns, sidebars and text boxes. These become a single flow of text, so you may need to rearrange sections.
  • Does not become text: scanned pages, which are kept as pictures unless you run OCR first.

If your PDF is mostly numbers in rows and columns, such as a bank statement or price list, you will often get a better result from PDF to Excel, because spreadsheets are built for that kind of grid. If it is a presentation, PDF to PowerPoint keeps each page as a slide.

Scanned PDFs: run OCR first

OCR, or optical character recognition, looks at a picture of a page and works out what letters are in it. Our Searchable OCR tool adds an invisible text layer on top of each scanned page, so you can search, select and copy the words. Once that layer exists, the PDF to Word converter has text to work with.

OCR quality depends heavily on the scan. Clean, straight, well-lit pages with ordinary printed fonts give the best results. Handwriting, faded photocopies, stamps over text and pages photographed at an angle all make recognition harder.

  • Scan at a reasonable resolution rather than the smallest setting your app offers.
  • Keep the page flat and straight, and crop out the table or background.
  • Use good, even light and avoid shadows from your phone or hand.
  • Rotate pages the right way up before running OCR.

Watch outOCR can misread characters, especially numbers. Always proofread figures, names, dates, account numbers and amounts against the original before using the converted text in anything official.

How to tidy the converted Word file

Even a good conversion is a starting point, not a finished document. Plan to spend a few minutes on clean-up, especially before you send the file to anyone else.

  1. Turn on formatting marks (the pilcrow button on the Home tab) so you can see stray line breaks and spaces.
  2. Join broken lines. If sentences end mid-line with a hard return, select the paragraph and remove the extra breaks.
  3. Rebuild columns if you need them. For a two-column layout that came through as one flow, apply Word's Columns setting to the relevant section.
  4. Check tables. Make sure rows have not merged and that totals sit in the right column.
  5. Apply styles to headings. Using Heading 1 and Heading 2 makes the document easier to navigate and gives you a table of contents for free.
  6. Replace fonts if the PDF used fonts you do not have. Select all and choose one font to make the document consistent.

TipIf you only need to change a few words, it may be faster to edit the PDF directly than to convert it. See our guide on how to edit a PDF for free for small changes such as adding text, a signature or a date.

A worked example: updating a CV when only the PDF survives

This is one of the most common reasons people search for PDF to Word. You made a CV a couple of years ago, the Word file lived on an old laptop or a college computer, and all you have left is the PDF you emailed to someone. Now a new opening has come up and you need to add your latest job.

  1. Check that it is a text PDF by selecting a line. CVs exported from Word or an online builder almost always are.
  2. Convert it with PDF to Word and open the .docx.
  3. Fix the structure first, then the content. If your CV used a sidebar for skills and contact details, it will have come through as part of a single flow. Decide whether to rebuild the sidebar with a two-column table or simply move those details to the top.
  4. Apply one font throughout so old and new text match.
  5. Add the new role and update dates, then read the whole thing aloud once to catch leftovers from the old version.
  6. Save the .docx somewhere safe this time, such as cloud storage or email it to yourself, so you never need to convert it back again.

The whole job usually takes less time than retyping the CV from scratch, and you keep the wording you were happy with.

Privacy: why it matters where the conversion happens

The PDFs people most often need to edit are personal: offer letters, salary slips, ID documents, legal notices, medical reports and business contracts. Many online converters work by uploading your file to a server, converting it there and sending it back.

IndiaDigital takes a different approach. The conversion code runs inside your browser, on your own device, so the file never leaves it. There is no sign-up and no watermark on the result. Processing speed depends on your device, so a long PDF on an older phone may take a little longer than on a laptop.

Frequently asked questions

Why is my converted Word file just pictures of the pages?

Your PDF is a scan, so the pages contain pictures rather than text. Run it through Searchable OCR first to add a text layer, then convert it to Word again. Proofread the result, because OCR can misread some characters.

Why did a two-column PDF turn into a single column?

Multi-column layouts and text boxes are rebuilt as a single flow of text so that it reads in order and stays editable. If you need columns back, select the section in Word and apply the Columns setting.

Will tables come across as real Word tables?

Tables built from clearly aligned columns are rebuilt as editable tables. Tables with merged cells, rotated text or no visible alignment may need some tidying. For data-heavy tables, PDF to Excel is often the better choice.

Can I convert a password-protected PDF?

If the PDF needs a password to open, you will need to open it with that password in a viewer first. Only convert documents you own or are permitted to edit.

Does the PDF get uploaded anywhere?

No. On IndiaDigital the conversion runs in your browser, so your file stays on your device. There is no account or watermark involved.

IndiaDigital tools run in your browser: files are processed on your device and never uploaded. Requirements set by portals, exams and government services change — always follow the official instructions you have been given.
